Who we are
Learning Snippets (“we”, “our”, “us”) operates the learning platform available at ‘https://lms.learningsnippets.com‘ (the “Site”). This Privacy Policy explains how we collect, use, store, and protect information about administrators, account leaders, and learners who use the Site, including the custom LearnDash Account Manager (LDAM) features that power our programs.
If you have any questions about this policy, contact us at privacy@dialectic.solutions
Information We Collect
We collect the following categories of information when you or your organization use the Site:
Account and Identity Data
- WordPress user profile details (first name, last name, email address, role, and WordPress username) created when you receive access to the Site.
- Group (account) membership assignments and roles recorded in our LDAM membership table.
Program Participation Data
- Lesson progress and completion data provided by LearnDash.
- Time-on-lesson metrics stored through the LDAM lesson time tracking table.
- Notification preferences stored in your user meta (e.g., whether you receive program emails).
- Email delivery history stored in the LDAM email log, including recipient email, subject line, message body, delivery status, and planned send times.
- Impact survey assignments, status (assigned, started, submitted), and survey responses gathered through LDAM impact assessment tables.
- Snippet feedback responses captured at the lesson level (recorded without copying the PII contained in your profile).
Device and Technical Data
- Standard WordPress server logs and security logs (IP address, user agent, referrer) to maintain the platform and detect misuse.
- Consent preferences recorded through Complianz.
We do not collect payment details through the Site. Any payments for program access are handled separately under your organization’s contract with Dialectic.
How We Use Information
- Provision and secure user accounts and group access.
- Deliver program content, send scheduled snippet-release emails, and manage notification preferences.
- Track progress, completion, and time-on-lesson metrics for accountability and support.
- Provide impact assessments and feedback dashboards to authorized account leaders.
- Troubleshoot issues, monitor system health, and improve content relevance.
- Generate aggregated, de-identified analytics for Dialectic to evaluate program effectiveness.
Legal Bases for Processing
We process personal data on the following bases:
- Performance of our contract with your organization (delivering Learning Snippet programs and related communications).
- Legitimate interests in maintaining platform security, analytics, and customer support.
- Compliance with legal obligations (e.g., security, record keeping).
- Your consent for optional communications or cookies where required.
Cookies and Similar Technologies
The Site uses essential cookies to maintain secure sessions, remember interface preferences, and support LearnDash lesson delivery. If you log in, WordPress places temporary and persistent cookies to remember your credentials and settings. Additional cookies may be set by embedded media that you choose to access (e.g., Vimeo, YouTube).
We do not deploy third-party marketing pixels or advertising cookies by default. If your organization requests additional tools, they will be registered in the Complianz script manager and only run with appropriate consent.
You can manage or revoke consent through the Complianz banner or via your browser settings; however, disabling essential cookies may limit Site functionality.
How We Share Information
We share data only with:
- Hosting, infrastructure, and support providers required to operate the Site (e.g., managed WordPress hosting, email delivery, backup, and monitoring services) under appropriate data-processing agreements.
- Authorized representatives within your organization (account leaders) who require learner progress and survey results to support participants.
- Contractors or advisors who have signed confidentiality agreements and require limited access to maintain the LDAM platform.
- Regulators or law-enforcement agencies if legally required.
We do NOT sell any data from our platform.
Data Retention and Deletion
- Personal, identifying data (first name, last name, email, notification preferences, time tracking, survey responses) is retained for the duration of the client contract and related support period.
- Within 60 days of contract termination, we remove or anonymize all personally identifiable learner records from LDAM-managed tables and email logs. De-identified analytics (without names or email addresses) may be retained to evaluate program outcomes.
- Platform backups follow the retention schedule set by our hosting provider (generally 30 days) and are overwritten on a rolling basis.
- Support tickets or operational logs containing personal information are deleted or anonymized once the issue is resolved, unless a longer retention period is required by law.
If you need data removed sooner—for example, because an employee leaves—your account administrator can request deletion at any time using the contact details below.
Your Rights
Depending on your location, you may have the right to:
- Request access to the personal data we hold about you.
- Ask for corrections to inaccurate or incomplete information.
- Request deletion of your personal data or restriction of processing.
- Object to processing based on legitimate interests.
- Receive a copy of your data in a portable format.
- Withdraw consent where processing relies on consent (e.g., optional communications).
Requests can be submitted through your organization’s account administrator or by contacting hello@learningsnippets.com. We will respond within the timelines required by applicable law and may need to verify your identity before fulfilling a request.
Security
We implement administrative, technical, and physical safeguards to protect personal data, including:
- Role-based access controls within LDAM and WordPress.
- Enforced HTTPS encryption for data in transit.
- Regular patching and monitoring of the hosting environment.
- Logging and review of critical actions within LDAM.
No system is entirely secure; please notify us immediately if you suspect unauthorized access to your account.
Changes to This Policy
We may update this Privacy Policy to reflect new features, legal requirements, or operational changes. If we make material updates, we will notify administrators by email or through the Site. The revision date at the top of this page will reflect the latest version.
